Information on fees, insurance, payments and other practical information

There are already a lot of things to think about when you are considering therapy. The practical side should not be one of the confusing parts.

Below you will find information about fees, insurance reimbursement, and scheduling policies. If you still have questions, you are always welcome to ask during your consultation.

Initial 30-Minute Consultation

Complimentary

Fees for therapy intensives, clinical consultation, and executive coaching may vary depending on the format and length of the service.

Payment is due at the time of service.

Insurance

Bellewood Psychology is a private-pay practice, which means I am not in network with insurance companies and do not bill insurance directly.

If your plan includes out-of-network behavioral health benefits, however, you may be able to receive reimbursement for a portion of your psychotherapy fees.

I provide the documentation you need to submit claims for out-of-network reimbursement.

Because every insurance plan is different, I recommend checking your benefits directly with your insurance company if reimbursement will be important to you. They can tell you about your deductible, the amount they consider reimbursable for a session, and what percentage they will reimburse once your deductible has been met.

Questions to ask your insurance company

·        Do I have out-of-network behavioral health benefits?

·        What is my out-of-network deductible, and how much of it have I met?

·        What percentage do you reimburse after my deductible has been met?

·        What is the allowed or reimbursable amount for outpatient psychotherapy?

·        Is there a limit on the number of psychotherapy sessions covered each year?

·        Do I need prior authorization or a referral?

·        How do I submit an out-of-network claim?

If they ask for a billing code, I can let you know which code is expected to apply to your service.

A note about reimbursement

Insurance reimbursement is generally calculated using the amount your insurance company considers allowable for a particular service, which may be different from my fee.

For example, if your plan reimburses 70% after your deductible has been met, that percentage is usually applied to your insurer's allowed amount rather than automatically to the full session fee.

Your insurance company can give you the most accurate estimate based on your specific plan, and reimbursement cannot be guaranteed.

Cancellation and rescheduling

I ask for at least 48 hours' notice if you need to cancel or change an appointment.

Sessions canceled with less than 48 hours' notice are generally charged the full session fee.

I also know that schedules sometimes go sideways. When I have another opening available during the same week, a session canceled within the 48-hour window may be moved to that time instead. This is limited to one reschedule and depends on availability.

If I am already present and available at the scheduled start of your appointment, the missed session cannot be moved to another time that week in place of the original appointment.

Genuine emergencies do happen, and those situations are handled individually.

Why private pay?

Working outside of insurance allows decisions about your therapy to remain between you and your psychologist, including what we focus on, how often we meet, and what approach makes the most sense for you.

It also offers greater privacy because insurance reimbursement typically requires the use of a mental health diagnosis and other clinical information.

If you plan to use out-of-network benefits, I am happy to provide the documentation you need to seek reimbursement.

Begin with a conversation

The initial 30-minute consultation is complimentary.

It gives us a chance to talk briefly about what brings you to therapy, whether my approach seems like a good fit, and any questions you have about fees, insurance, scheduling, or what beginning therapy would look like.
